Access Control

Open 24/7.
No front desk.
Nobody slips in.

ClubRight’s gym access control software reads your door straight off your member database — paid-up members and customers booked onto a class get in by QR, fob, card or PIN. Everyone else is turned away. Run early mornings, late nights, or fully unmanned.

The problem

Your front door shouldn’t
need you standing at it.

When entry runs on staff and shared fobs, you’re paying to open the doors, losing money to people who shouldn’t be in, and having the awkward conversations yourself.

Tied to your opening hours

Every early start and late finish needs someone on reception. Open longer and your wage bill climbs with it.

Lapsed members slip through

A payment bounces and nothing links it to the door — so they keep coming in until you notice and have the awkward chat.

No record of who came in

Paper sign-in sheets, or nothing at all — so when you need to know who was in and when, you’re guessing.

Locked into their hardware

Some providers bundle their own kit and tie you to it — so switching means ripping the door system out and starting again.

Access control

Everything your
front door needs.

Entry that reads straight off your membership database — so the right people walk in, the rest don’t, and you don’t have to be there.

Checked in a second

Only the right
people get in.

The moment someone scans, ClubRight checks them against your live database — an active membership, or a paid class booking. Good to go, they’re straight in. Expired or overdue, they’re refused, and the screen shows why. Every entry is recorded.

Self-service

Members let
themselves in.

Their phone is their key — a QR pass in the app. Prefer a fob, a card or a PIN? Those work too. Members come and go 24/7, without anyone on reception to buzz them through.

Open when you’re not

Early starts, late
nights, unmanned.

Because the door checks members itself, you can open early, close late, or run fully unmanned — no one on reception, no wages for the quiet hours. Members come and go around the clock.

Access rules

Your rules, enforced
at the door.

The Club Access screen gives you the lot: who gets in, when, how long they stay, how many at once, and how often. ClubRight checks every entry against it — when a membership changes, the door follows.

  • Tied to live membership & payment — overdue or lapsed members are refused automatically, with the reason shown
  • Opening hours or 24/7 — set when each membership can check in, with early entry for booked classes
  • Capacity limits — a total, plus a separate cap for the gym floor; the welcome screen warns as you fill up
  • Visit limits — allow only so many visits per period, and flag anyone coming in more than they should
  • Block a member instantly — by email, whenever you need, and undone just as fast
Who’s in

See who’s in.
Go say hello.

Everyone on your team sees who’s in the building — on the welcome screen and in the app. So a coach on the gym floor can spot a member who’s been slipping away, put a face to the name from their photo, and go and have a chat — the kind that keeps them coming back.

  • Live “in the club right now” — a running count and list, on the welcome screen and in every staff member’s app
  • A photo for every member — recognise who’s in and greet them by name
  • Time in & what they’re attending — plus who’s recently joined
  • At-risk & high-risk PAR-Q flags — spot who needs a word, then walk over and have it

It’s your cheapest retention tool. Keeping a member costs a fraction of winning a new one — and it starts with noticing the ones slipping away, before they cancel.

Insight

Every entry tells
you something.

Because members check in, you don’t just control the door — you see how your club really runs. When it’s busy, how long people stay, how often they come, and who’s drifting away.

  • Peak vs quiet hours — staff and classes around when members actually turn up
  • Average visit length — and how it’s trending over time
  • Visit frequency — how often your active members really come in
  • First-timers vs returning — see who’s sticking, and who isn’t

It all feeds your reporting — decisions on fact, not gut feel.

Ways in

Easy to get in.
Hard to fake.

Members get in whatever way suits them — phone, fob, card or PIN. The app’s QR code refreshes constantly, so it can’t be screenshotted or passed to a friend. One membership, one member.

  • QR code — rotating & secure — it can’t be screenshotted or shared
  • NFC fob, card or barcode — tap or scan at the reader
  • PIN keypad, browser or location — check in with no scanner at all
  • Anti-sharing flags — spot a member entering more often than they should
Hardware

Runs on Nortech
or Paxton.

ClubRight doesn’t sell its own locked-in door kit. It connects to two proven, independent access systems — Nortech and Paxton Net2 — through the Welcome Screen, a small app on a PC at your club. An approved installer surveys your site, fits the hardware and connects it.

  • Nortech or Paxton Net2 — two industry-standard systems, whichever suits your premises
  • Connects through the Welcome Screen — a small app on a Windows PC at your club
  • Fitted by an approved installer — site survey, hardware and setup handled, across the UK & Ireland
  • No proprietary ClubRight hardware — you’re not tied to a single vendor’s locked-in box
  • We support the software — your installer looks after the hardware

FAQ

Common questions about
access control.

What hardware does ClubRight work with?
ClubRight integrates with Nortech and Paxton Net2 — the two access-control systems most UK clubs already run — connected through the Welcome Screen, a small app on a Windows PC at your club. If you already have Nortech or Paxton, an approved installer can connect it; otherwise they’ll advise on and fit the right system for your premises.
What happens when a member’s payment fails?
Access is tied to their live membership status. When a payment lapses or a membership expires, they’re no longer granted entry until it’s sorted — so there’s no list for you to keep and no awkward conversation at the door.
Can members get in 24/7 without staff?
Yes. Members let themselves in at any hour with a QR pass from the app or an NFC fob, so you can run unmanned early mornings, late nights or fully staffless sites without anyone on reception.
How do members get through the door?
With a QR code from the member app, an NFC fob or card, a barcode on a key tag, or a 6-digit PIN. They can also check in from their phone’s browser or by location. Whatever they use, ClubRight checks their live membership and payment before the barrier opens.
Can members share a QR code or fob?
The app’s QR code rotates and can’t be screenshotted or passed on, so it can’t be shared. You can also cap how many visits a membership gets in a set period, and ClubRight flags anyone entering more often than expected — so one membership stays one member.
Can members from my other sites check in here?
Yes. Switch on multi-site access and members from your other locations can check in at this club too — handy for multi-site operators whose members move between venues.
What if my internet goes down?
The Welcome Screen keeps a local cache, so a short internet outage won’t immediately lock members out. For day-to-day running it needs to stay online, so we recommend hardwiring the PC to your router.
Can I set different access for different memberships?
Yes. Access is driven by each member’s live status, plus rules you set — opening hours and time windows, club capacity, and visit limits. Change a membership and the door follows automatically.
Am I locked into ClubRight’s hardware?
No. ClubRight doesn’t sell its own door hardware — it connects to independent Nortech or Paxton systems, fitted by a third-party approved installer. So you’re working with proven, industry-standard kit rather than a single vendor’s locked-in box.
What do I need to run it?
A dedicated Windows PC running the Welcome Screen (kept online), plus Nortech or Paxton hardware fitted by an approved installer. Your installer handles the site survey and hardware; ClubRight supports the software side.
Is access control built in, or an add-on?
It’s part of ClubRight, working hand in hand with your memberships, payments and bookings — not a separate product bolted on the side. You run entry from the same place you run everything else.
